Form Collaboration

Form collaboration in FormBN allows multiple government officers to work together in preparing, reviewing, and publishing an online form within a controlled workflow.

This collaboration can be used within the same department or with officers from other ministries or agencies.

There are two types of collaboration in FormBN:

  1. Form Co-Owner
    A Form Co-Owner has the same role and access as the original form owner. They can manage and edit the form with full control.

  2. Form Contributor
    A Form Contributor has limited access based on the permissions assigned by the form owner. The owner can customize which features or sections of the form the contributor is allowed to edit or manage.

A Form Contributor can be assigned specific permissions by the form owner. These permissions determine what the contributor is allowed to access or manage in the form.

The available permissions include:

    1. Edit the Form
      Allows the contributor to modify the form fields, content, layout, and settings.

    2. View Form Submissions
      Allows the contributor to view responses submitted by users.

    3. Delete Form Submissions
      Allows the contributor to delete submitted responses when necessary.

    4. Edit Form Submission Tags
      Allows the contributor to add, edit, or manage tags for form submissions to help organize and categorize responses.

 

Setting Up Collaboration

On Form Owner Side

  1. Go to the form name.

  2. Select the Collaboration tab.

  3. Under Set Collaboration, click Add Content and choose either:

    • Form Collaboration Contributor, or

    • Form Collaboration Co-owner

  4. Enter the Collaboration Group Name. This is used to structure the collaboration group only.

  5. Under Users to Collaborate With, add the email addresses of the users you want to collaborate with under this group role.

  6. Select the appropriate permissions for the group.

  7. Click Save.

Once saved, an email notification will be sent to all added users to inform them that they have been invited to collaborate.

On Form Collaborator Side

  1. Expand the Forms folder.
  2. Click Shared Forms.
  3. The shared form created by the owner will be displayed.
  4. Click the shared form name.
  5. The workspace will refresh and display the original owner’s workspace with only the shared form shown.
  6. You may then proceed to edit the form as usual, based on the permissions granted by the owner.
